Secretarial support to Institute’s Chairman and Executive Director
- Meetings – Manage and organize meetings. Including preparation of meeting papers and meeting agenda.
- Appointments – Manage and liaising with internal/external parties. Including booking of venues and providing logistic support i.e., directions, venue setup and so on.
- Travel arrangements – Manage and liaising with internal/external parties on travel request. Including preparation of pre-trip materials, e.g., conference papers etc
- Expenses and travel claims – Understanding the nature of each claim and process via NUS’ new travel and expense system.
- Academic visitors – liaising, drafting of invitation letter, booking of accommodation, seminars arrangement, process honorariums and claims etc.
Office Administration and Management
- Assist in staff/visitors’ onboarding, offboarding administration.
- Assist in the institute’s budget monitoring.
- Assist in procurement and tender processes.
- Assist in keeping track of institute’s fixed assets.
- Ad hoc tasks/projects as directed or requested.
Job Requirements
- Minimum a Diploma holder.
- Minimum 2 years of relevant work experience as a Secretary to Management.
- Proficiency in MS Office
- Excellent time management skills and the ability to prioritize work.
- Independent, well-organized, meticulous, discreet and can multitask.
- Good team player with initiative and resourcefulness.
- Attention to detail and good problem-solving skills.
- Excellent written and verbal communication skills.
- Positive attitude and pleasant personality.
