Secretarial support to Institute’s Chairman and Executive Director

  1. Meetings – Manage and organize meetings. Including preparation of meeting papers and meeting agenda.
  2. Appointments – Manage and liaising with internal/external parties. Including booking of venues and providing logistic support i.e., directions, venue setup and so on.
  3. Travel arrangements – Manage and liaising with internal/external parties on travel request. Including preparation of pre-trip materials, e.g., conference papers etc
  4. Expenses and travel claims – Understanding the nature of each claim and process via NUS’ new travel and expense system.
  5. Academic visitors – liaising, drafting of invitation letter, booking of accommodation, seminars arrangement, process honorariums and claims etc.

Office Administration and Management

  1. Assist in staff/visitors’ onboarding, offboarding administration.
  2. Assist in the institute’s budget monitoring.
  3. Assist in procurement and tender processes.
  4. Assist in keeping track of institute’s fixed assets.
  5. Ad hoc tasks/projects as directed or requested.

Job Requirements

  1. Minimum a Diploma holder.
  2. Minimum 2 years of relevant work experience as a Secretary to Management.
  3. Proficiency in MS Office
  4. Excellent time management skills and the ability to prioritize work.
  5. Independent, well-organized, meticulous, discreet and can multitask.
  6. Good team player with initiative and resourcefulness.
  7. Attention to detail and good problem-solving skills.
  8. Excellent written and verbal communication skills.
  9. Positive attitude and pleasant personality.
